TruckDesk is operated by Rivet Technologies LLC (“we”, “us”).
What we collect
Account details you give us (name, email, company info), the business data you put into TruckDesk (customers, price book, quotes, invoices, photos, notes, files you import), recordings, transcripts, and summaries of calls handled on your business line when call answering is on, phone numbers and the texts sent to and from your business line, each customer’s consent record for texts (the words they agreed to, the terms page and its date, their IP address and browser, and the time), the business details you give to register for texting (legal name, address, tax ID or sole-proprietor details, and a contact’s name, email and mobile number), payment records from your connected Stripe account, and technical basics needed to run the service (log data, device and browser information, IP addresses — including on quote acceptances, where the IP forms part of the signature record).
How we use it
To run the product: answering your calls, drafting quotes from your price book, sending documents to your customers on your behalf, syncing your books when you connect QuickBooks, processing payments through your Stripe account, and improving reliability. AI features process your data to produce drafts for you. Your data is not used to train AI models — ours or anyone’s — and it is never pooled with, compared against, or shown to another business.
Who processes it
Infrastructure and subprocessors we use to provide the service: Vercel (hosting and page-speed measurement), Supabase (database, authentication, file storage), Retell (voice calls — answering, placing, recording, and transcribing them), Twilio (your business phone line: carrying its calls, sending and receiving its texts, and registering your business for texting with the carriers), Google (AI drafting, sign-in), Stripe (payments, if you connect it), Resend (email delivery), Intuit (QuickBooks sync, if you connect it), Sentry (error monitoring), and PostHog (product analytics). Each receives only what its function requires. Data is processed in the United States.
Calls and recordings
When call answering is on, calls to your business line are answered by an AI assistant, recorded, transcribed, and summarized. Every call carries a spoken notice that it may be recorded. Recordings and transcripts are visible only to your business, are used to create your call log and drafts, and follow the same retention and deletion rules as the rest of your data.
Texts
Your business line receives texts from its first day, and once the carriers approve your business it texts the customers who agreed to it about their work. A customer’s texts land on their job for your business to read and answer, and our AI assistant may read them to suggest your office’s next step. We keep each customer’s consent record and every opt-out, unchanged, as the record of what they agreed to. No mobile information is shared with third parties or affiliates for their marketing or promotional purposes, and text messaging opt-in data and consent are never shared with third parties.
Your customers’ data
The customer records you store in TruckDesk belong to your business; we process them on your instructions and never sell them, market to your customers, or use them for any other business. If one of your customers sends us a privacy request, we will refer them to you and help you honor it.
Cookies and analytics
We use cookies for signing you in and keeping your session, and first-party product analytics (PostHog) — which sets its own cookie — to understand which features get used and where they fail. If a link brought you here — an ad, a postcard, a referral — a first-party cookie remembers it for 30 days so a sign-up is credited to it; it holds the link’s campaign tags and the page you landed on. No advertising trackers, no cross-site tracking, and we do not sell or share personal information for targeted advertising. If your browser has Global Privacy Control turned on, we load no analytics for your visit: neither PostHog nor Vercel’s page-speed measurement.
Session recordings
To improve our website and our sign-up and company setup pages, we may record how visitors use them: clicks, scrolling and the pages viewed. Everything typed is hidden from these recordings. We record visitors in the United States only, and never visitors in California, Delaware, Florida, Illinois, Maryland, Massachusetts, Montana, Nevada, New Hampshire, Pennsylvania or Washington. We never record inside the TruckDesk app, or on a quote, invoice or plan page a business sends its customers. Recordings are deleted after 30 days.
Questions on our website
When you ask Chalk a question on our website, we keep the question, its answer and the page you asked it on, to improve answers and to follow up when you ask us to get in touch. Card numbers and Social Security numbers are removed before a question is saved; a phone number or email you type is kept, so we can reply. No IP address, account or cookie is stored with a question. Once there are more than 10,000 questions, those older than 180 days are deleted.
Retention and deletion
Your data stays while your account is active, texts and consent records included. If you delete your account, company data is archived and then removed from live systems; backups age out on a fixed schedule. Signed documents (accepted quotes, invoices) are business records and are retained as such. You can export your customers, quotes, jobs, invoices, payments and price book at any time from Settings.
Your rights
You can access, correct, export, or delete your data; a consent record for texts is kept as it was made, as the record of what was agreed. California residents have the right to know what personal information we hold, to correct or delete it, and to opt out of its sale or sharing — we sell and share nothing, so there is nothing to opt out of — and we will never treat you differently for exercising a right. Depending on where you live you may have additional statutory rights; requests via any email from us are honoured to the extent the law provides.
Security
Data is encrypted in transit and at rest. Each business’s data is isolated from every other business’s, access inside TruckDesk is role-based, and card details live with Stripe — we never store card numbers. No method of transmission or storage is completely secure, so while we work hard to protect your data we cannot guarantee absolute security.
Legal requests and business transfers
We may disclose information when we reasonably believe it is required to comply with the law or valid legal process, to enforce our terms, or to protect the rights, property, or safety of our users, the public, or us. If TruckDesk is involved in a merger, acquisition, financing, or sale of assets, your information may transfer as part of that transaction; it remains subject to a policy at least as protective as this one, and we will note any material change.
Children
TruckDesk is for businesses and not directed at children. We do not knowingly collect personal information from anyone under 13.
Changes
Material changes will be announced in the product or by email before they take effect.
